Email terms
What we send by email, how your information is kept safe, and what changes if you ask us to put details in the message itself.
The short version
By default, we do not put health information in an email. We send a short note saying there is a message for you, with a secure link. You open the link, and the details are there.
If you would rather have the details in the email itself, you can ask us for that on our request form or by telling the office. That is your choice, and you can change it at any time.
Either way, saying yes or no changes nothing about your care.
How your information is protected
Everything you type on this website travels over an encrypted connection. Our request form, our secure pages, and our staff console all work this way, and a page will not load any other way.
Your information is kept on encrypted storage on our own systems, not on a third-party marketing platform. Only our staff can reach it, each person signs in with their own account and a second code, and every look at a record is logged.
Email we send to you is also protected while it is travelling to your email company.
The one thing we cannot protect
Once an email arrives, it sits in your mailbox, and your mailbox is not ours to look after. Anyone who can open your email can read what is in it — someone sharing your computer, an old phone still signed in, a family member who knows your password.
That is the whole reason we hold health information back by default. It is not that email is unsafe on the way to you. It is that we cannot see who else can open your inbox once it lands.
This is also why we never put health information in a text message at all. A phone screen is even easier for someone else to read over your shoulder.
What the secure link is
It is a private web address that only you have. Nothing about your health is in the email — only the link.
Each link works once and then stops working. Links also expire after a while. If yours has expired, or you cannot open it, call the office and we will send a new one.
Please do not forward a secure link to anyone you do not want reading your information. Forwarding the link forwards the access.
If you ask us to put the details in the email
We will include things like your appointment date and time, what to bring, what your insurance told us, and information about your evaluation.
We will still keep to what is needed. We do not attach your full report to an email, and we do not email test data.
You are telling us you accept that anyone who can open your mailbox could read those details. That is what the tick box is asking, and it is why we ask it plainly.
What we never send by email
We never ask you for a password, a card number, or a payment by email. If an email appears to come from us and asks for any of those, it is not from us — please call the office.
We do not send marketing email. We do not sell, rent, or share your email address, and we never share it with anyone for marketing.
Please do not email us anything urgent. Email is not monitored around the clock.
Changing your mind, and getting help
You can change this at any time. Call (631) 366-3369 and tell us, and we will go back to sending you a secure link instead. You do not have to give a reason.
Changing your mind applies from then on. It cannot reach back into an email already sitting in your inbox, so if a past message worries you, delete it from your mailbox as well.
If you would rather not use email at all, that is completely fine. Tell us, and we will call you and post things to you instead.

How we look after your information
Our Notice of Privacy Practices explains what we do with your health information, who is allowed to see it, and what rights you have over it. It also covers our automated phone and chat assistant.
Please do not email us in an emergency. Email is not monitored around the clock, and a reply may not reach you in time.
If you are experiencing a medical emergency, call 911 or go to the nearest emergency department. This practice does not provide emergency or crisis services.
